Governance buyers

Four buyers. One operating record.

Owners see the rollup. Auditors see the trail. Contractors see their work. Procurement sees the cost. No exports between them.

Owner

Sees portfolio rollup across every site, every contractor, every approval.

Auditor

Pulls the evidence trail without asking operations to rebuild the story.

Contractor

Works from a dedicated workspace tied to the contractor record.

Procurement

Sees approved rates, quote changes, and cost decisions on the work order.

Records that carry proof

Permits and audit trails stay attached to the work.

Governance questions

What buyers ask before they move contractors and approvals onto the record.

How do contractors access their work without internal seats?

Contractors use a dedicated contractor workspace tied to their company record. They see assigned work, permit status, evidence requests, and closure actions. Internal team access stays separate from contractor access.

Can approval delegations match our authority matrix?

Yes. Approval routing can follow amount thresholds, sites, roles, and delegated approvers. The approval record keeps the decision-maker, timestamp, comments, and the work order context together.

What does the audit trail actually capture?

Every status change, approval decision, parts movement, time-on-site mark, and document upload. Each entry shows who acted, when it happened, what changed, and the prior value.

How are expired permits caught before work starts?

Permit expiries surface on the work order, the contractor record, and the dispatch view before the job starts. A permit with no current validity blocks the work from moving forward.

Can we run separate rate cards per contractor or per site?

Yes. Each contractor can have its own Schedule of Rates version, and each site can pin a different version. Quoting pulls the version active for that contractor or site when the work order is raised.
